CPC Cancellations/Terms & Conditions

This registration includes and incorporates by reference the Privacy Policy/Terms of Use posted below. You may also request a copy of the posted Registration Terms and Conditions, as well as the Privacy Policy/Terms of Use, by contacting [email protected] or INCM PO Box 59148, Schaumburg, IL 60159.

Be sure you read the cancellation policy before accepting the terms & conditions of registration.


Cancellation Policy:

A non-refundable administrative fee of $100 per-person will be assessed for any cancellations or transfer for credit. A name change/substitution can be made at any time without incurring an administrative fee.  Please email [email protected] with your name & email change request.

Registrations cancelled at least six weeks prior to the conference start date:  You may receive a refund (less the admin fee) of monies paid or a credit (less admin fee) that can be used for any INCM conference within one calendar year from the date of cancellation.

Registrations cancelled on or between three to six weeks prior to the conference:  You will receive a credit (less admin fee) that can be used for any INCM conference within one calendar year from the date of cancellation.

Registrations cancelled less than three weeks prior to the start of the conference:   No refunds or credits can be given for cancellations made at this time. INCM also cannot issue refunds or credits for no-shows.

Service Fee is non-refundable at any time.

Local Weather Causing Conference Cancellation:   Should a “state of emergency” in the local area lead to closure of the INCM conference facility, you will be notified via email and childrenspastorsconference.com will be updated with the latest information. If the conference is completely cancelled, you will have the option of a full refund or transferring funds to another conference.

Severe Weather that is Non-Local:  INCM recognizes that there may be weather challenges in your area. Please consider your personal safety when making a decision to travel, but credits or refunds cannot be given.

In the event that INCM cancels CPC due to a COVID-19 resurgence: INCM is prepared to pivot to a completely online experience should the need arise for INCM to cancel the live experience. Those with tickets to CPC would be transferred to the online experience which will automatically include the CPC Experience Kit as well.


The same cancellation rules and deadlines apply as stated above, however, the admin fee is $75 per registration.

The Children’s Pastors Conference is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, or organizations and other companies from photographing or video or audio-taping some Conference activities. INCM reserves the right to use images taken at the Conference with your photograph and/or likeness in future marketing materials.

Soliciting is prohibited at the Children’s Pastors Conference. We reserve the right to escort any individual from the conference if they are reported to be soliciting at the Children’s Pastors Conference and are not a Children’s Pastors Conference sponsor or exhibitor. Soliciting includes the distribution of sales, marketing materials, and/or products. We encourage attendees to support the paid sponsors and exhibitors who, in turn, are supporting the ministry of INCM.

In our sole discretion, without refund, we reserve the right to refuse admittance to or expel from the Conference anyone that we determine is behaving in a manner that could be disruptive to the Conference or any other attendee.

Information we collect:

We collect information to provide better resources and support to the children’s ministry community – from figuring out basic stuff like where you are from, to more complex things like which initiatives you’ll find most useful, the resources that matter most to you, or which events you might like.

We collect information in the following ways:

  • Information you give us.
    • For example, many of our events or memberships require you to fill out a registration/subscription form. When you do, we’ll ask for personal information, like your name, email address, church name, title/role, telephone number or credit card to store with your account. Your credit card information is encrypted and we cannot see the number in its entirety, unless you give it to us personally over the phone.
  • Information we get from your use of our services.
    • We collect information about the services that you use and how you use them, like when you register for an event, request information from INCM, subscribe to our blog or email list, download a resource, enter a contest, respond to promotional campaigns, watch a webinar, open and click one of our emails, or view and interact with content. This information includes:
      • Log information:
        • Whether or not you opened, clicked, downloaded, or attended something is logged into our system.
      • Timing information:
        • When you logged into a website, checked into an event (online or live), and how long you stayed connected to an online event.

How we use information we collect:

We use the information we collect from all of our ministry initiatives to provide, maintain, protect and improve them, to develop new ones, and to protect INCM and our community of ministry leaders. We also use this information to offer you tailored content – like giving you more relevant email content. Information we put together that does not identify any individual can be shared without restriction, like how many denominations are represented at the Children’s Pastors Conference or the breakdown of conference attendees by state.

Information we share:

We do not share personal information with companies, organizations and individuals outside of INCM unless one of the following circumstances applies:

  • With your consent
    • We will share personal information with companies, organizations or individuals outside of INCM when we have your consent to do so.
      • The companies receiving this information are trusted ministry partners of INCM.
  • For management
    • We provide personal information to the database tools we use, for the purposes of ongoing management (email and membership). The companies who created these tools cannot use your information in any way, in compliance with our Privacy Policy, and keep confidentiality through security measures.
  • In good faith
    • If INCM determines in its good faith judgment that disclosing information is necessary to provide its services or to protect the rights, interests, safety, or property of the ministry, employees, children’s ministry community, or others as well as if INCM enters in connection with any proposed or actual sale or other transfer of some or all assets of INCM, and/or any proposed or actual sale or merger of the ministry or any division of INCM.


Personal Information:

This is information which you provide to us which personally identifies you, such as your name, email address or billing information, or other data which can be reasonably linked to you.
